How to connect your laptop to a projector without VGA – whenever I get asked this it usually means one of two things have gone wrong and the person asking the question is usually in panic mode.

  1. You have a new style laptop without VGA but the projector you have been asked to use has a VGA cable
  2. You have an old laptop with VGA and the projector is new and doesn’t have a VGA port

Whichever of the above situations you are in they can both leave you feeling really stressed out but both can be avoided and resolved quite easily. In this post I will run through what causes this situation and how you can prepare for it

VGA or Video Graphics Array connectors were the standard for video connections for decades and as such were on every laptop, projector and screen but it has several limitations: 

  1. Analog Signal: VGA uses an analog signal, which can lead to a lower-quality image compared to digital connections like HDMI and Display Port.
  2. Resolution Limitations: VGA is limited in terms of supporting high-definition resolutions, making it unsuitable for modern high-resolution displays.
  3. Bulkiness: VGA cables and connectors are bulkier and less convenient to use compared to their digital counterparts.
  4. Lack of Audio: VGA only supports video, so a separate audio connection is often required

To keep up with advancements in technology, most laptops and projectors now come equipped with digital video outputs and inputs but there are many bits of equipment in use that still have this connection.

  • Monitors – A lot of monitors still have VGA ports, this is mainly due to the reliable nature of the connection, the fact they are not restricted for space
  • Laptops – Most laptops have moved over to HDMI and other digital connections but you will still find laptops or PCs with VGA connectors.
  • Projectors – Up until recently projectors were quite expensive and very reliable so once a company had invested in a projector they would keep them for many years. This is much more common in places that only use their projector occasionally. This is why you will find a lot of projectors still in use with VGA ports as the main connectionWhat is VGA

Connect Laptop to VGA Projector

The most common issue will be that you have a newer laptop with HDMI connections and you turn up to do a presentation and the projector being supplied has a VGA connection. First thing to do is ask if they have a HDMI connection available as many places will have f

aced this before. But if this fails you have a few options ranging from cheap and low tech adapters to all singing and dancing wireless transmitters. They are all pretty straight forward once you know what to look for:

  1. VGA to HDMI Adapter – This is the easiest option as it can be carried in your laptop bag, is low cost to buy and really easy to use. You just need to make sure you get the correct adapter with a female VGA and male HDMI connections 
  2. VGA to HDMI Cable – This gives you extra security as also covers you in the event the location has a faulty cable. Low cost to buy but as it is longer than an adapter (from 3ft/1M up to 9ft/3M) it might not be suitable for use when travelling
  3. Wireless adapter kit – This converts any projector into a wireless system so you can transmit your presentation from anywhere in the room and to any projector. These are fantastic bits of equipment that are really versatile and extremely professional, they are really compact so can be packed in your laptop bag too. You simply connect the unit to the projector using the VGA cable or whatever other cable is provided, then plug the transmitter into your laptop using the HDMI port and turn them on.Downside is they are a more expensive than adapters and cables

Connect VGA Laptop to a Projector

This won’t happen very often but it is possible if you have an older laptop or if you have been asked to present on someone elses laptop. If your laptop has a VGA port and you need to connect to a projector that has a HDMI cable, the first thing would be to ask if the location

has a VGA cable as many will have one in a cupboard somewhere. If they don’t then you have the same options as above but they will be different adapters and cables

  1. HDMI to VGA Adapter – in this instance I would recommend this option as it is really easy and you will probably need this whenever you present. These can be carried everywhere, are very low cost to buy and will pay you back ten fold by getting you out of trouble. As above make sure you get the correct adapter – Female HDMI to Male VGA
  2. HDMI to VGA Cable – As above this provides extra security just in case and again remember to get the right ends
  3. Wireless adapter kit – The real benefit of this system is that it works with any projector and any laptop – as long as your laptop has a USB port for the transmitter. So if you buy one of these but then upgrade your laptop you will still be able to use this system, this is what makes this system such a great investment. Particularly if you are a business and regularly have people come to your company to present.

As VGA connections continue to fade into obsolescence, it’s essential to adapt to the evolving range of technology in use Connecting your laptop to a projector without VGA is not only possible but can also showcase how professional and prepared you are in the changing world of presentations and IT.

Beware:

Please remember though that VGA connections don’t transmit sound so if you have a video with sound that you want to present make sure you have external speakers just in case

    This is really helpful! I remember I was presenting in one of our church group activities, and I was so prepared with my presentation on my MacBook, but lo and behold, I did not have a VGA port in my laptop, so I had to put my presentation in my USB and connect it to the old laptop with the VGA port. However,  the video part of the presentation was not properly presented because we had no speaker then.

    Thank you for this article, I learned that I have to buy one of these HDMI to VGA connector to make it work, or better still, the wireless HDMI transmitter adapter kit.

      Thanks for your feedback, unfortunately most of us only find out about these sort of issues when we encounter them and then it can be too late to do anything about it. That is why I decided to write this post so that I could hopefully help to prevent someone else being stuck. If you are doing a lot of presentations then I would recommend the wireless transmitter but if not the adapters are great for “just in case” moments occasionally.
